We collect the minimum amount of data possible, in order to serve our customers, and no more than that.

When making a booking you will be directed to our booking engine which is hosted by a third party company, and not on our site.

We do not save customer credit card numbers at any time.

We may from time to time send customers marketing emails if they have consented for us to do so. We make it as easy as possible to unsubscribe from those emails with one click of the mouse.

We would contact the Information Commission Office within 72 hours and tell the individual if the data leak involves information that can lead to: discrimination, financial loss, loss of confidentiality, damage to reputation and economics and social disadvantage

TERMS & CONDITIONS

Booking

  1. Bookings can be made via the website, over the telephone, by e-mail or at the site itself. Once your booking has been accepted we will issue confirmation. Until such time as the booking confirmation is issued the booking is not complete. Payments may be made on line by card. A charge of 3% will be added for customers using credit cards, no charge for debit cards. Extension stays can be made on site by card. A 50% deposit is payable upon booking which is non-refundable. Full payment is required four weeks prior to arrival. If payment is not received the booking will be cancelled and any deposit retained.
  2. Bookings are not transferable.
  3. You must be over 18 years old to make a booking and to stay on site without other adults.
  4. We welcome couples, families and groups but reserve the right not to accept bookings.
  5. Cancellations more than one month prior to arrival will lose any deposit paid. Cancellations with less than one months’ notice will only be refunded if the Pod is re booked and any refund will be subject the loss of the deposit. Cancellation without Booking Protect Insurance: The hirer is strongly recommended to take out holiday cancellation insurance. In the event that you need to cancel your holiday, please inform Notgrove Holidays by email or phone as soon as possible. This will allow us to try and maximise the amount you may be refunded. If you cancel your holiday, we will try and re-let your property. If we are able to obtain full price for it, we will refund you any monies paid less £30.00. Your holiday is non-transferable. Should you be unable to take your holiday but have a friend or family party who would like to take your place this must be arranged and confirmed in writing in advance. Cancellation with Booking Protect Insurance: If you take out Booking Protect Insurance when you place your booking on Super Control (which we strongly advise) you will then follow their refund policy and instructions. No refund will then be given by Notgrove Holidays even if the property re-books, the refund will be provided by Booking Protect Directly.
  6. Balance payments are due 4 weeks before arrival, if a balance is overdue the booking will be held for 7 days, after this time if no payment has been made we will cancel the booking and release the dates.
  7. We will try to ensure that all services and facilities connected with the site are available to you during your stay. If services and facilities are not available no liability will attach to us and any refund is up to our discretion.
  8. We reserve the right to terminate your permission to stay on site immediately in the event that you or those in your party are in breach of these terms and conditions. In the event that permission to stay is terminated no monies will be refunded to you.
  9. We aim not to cancel bookings but if we have to for any reason, we will repay the full amount of any payment and no other compensation will be made.
  10. We will endeavour to put you in the glamping pod you choose but retain the change the location at our discretion.
  11. Monies will not be refunded in the event that some members of your group fail to arrive or you leave the site early whatever the circumstances.
  12. Arrival and Departure – Your pod will be available from 3.00pm on the date of arrival and must be vacated by 10.00am on the date of departure.
  13. The number of people occupying each pod must not exceed the number stated in the booking request form.
  14. The 5% repeat customer discount is only available on full price bookings, it does not apply when another offer is already in place.

Glamping pods

  1. Personal belonging are your responsibility and we will not be liable for any personal belonging lost or damaged during your stay. If any personal belongings are left, if contacted we will endeavour to return them on receipt of payment for return postage plus a £10 management charge. Any left items will be disposed of after 14 days of the stay if we have not been informed.
  2. Pods Pitches must be left free clean and free of rubbish at departure or an additional charge may be applied. Any rubbish is to be placed in the recycling boxes or general waste bins on site. Bedding and towels are to be left in the laundry bags supplied. All cooking pots, cutlery, glassware etc. are to be left clean.
  3. There is a no smoking policy in all pods and the games room, you are welcome to smoke in the gardens but all cigarette stubs must be disposed of in a bin and not littered on the ground – our worms are non-smoking!
  4. We do not allow e-bike, battery, a/c units or large electrical devices to be charge anywhere on-site, except in the Pods Games Room and on the Tent verandas.
  5. Wi-Fi is available, we reserve the right to charge for any use in excess of 500mb per person. We cannot guarantee Wi-Fi as we are in a rural location and connection can be intermittent. We are not liable for any losses caused by failure of Wi-Fi.
  6. We reserve the right to charge for any damages caused to the interior, exterior or contents of the glamping pods.
  7. Unused fire packs can be refunded if completely untouched.  There will be an admin fee of £2.50 kept by Notgrove Holidays on any fire pack refunded.
  8. The sewerage system is via a soakaway. Please only put toilet paper down the WC, absolutely NO nappies, wipes or any other sanitary materials. Please do not pour fat or fatty liquids down the kitchen sink. We retain the right to charge for the blocking of any sewers drains.
  9. This is a family site, please respect your neighbours and switch off any external music after 9.30 pm and keep noise down to a respectable level.
  10. All Glampers are to be responsible for their own and their children’s safety. Notgrove is a working farm and we have goats, sheep, donkeys, horses, sheep and cattle. Please do not feed any animals or go into any field with animals. We have many marked footpaths and beautiful countryside for you to enjoy please do so, but you are responsible for your own safety, we have no responsibility if you or your child falls out of a tree or has an accident!
  11. Facilities – all Glampers are welcome to use the games room and football pitch but please respect other users and the equipment supplied. If you break something, please let us know so we can replace it so someone else can use it! Please note that users of our facilities including the games room, clamber stack, tennis court, football pitch, visiting our animals, walks and cycle routes around the farm do so entirely at own risk at all times.  Neither the owners nor their personal representatives shall be held liable for any distress, theft, loss, accident, personal injury, death or damage to property and vehicles, however or whenever caused.
  12. The Facebook Promotion is in no way sponsored, endorsed or administered by, or associated with Facebook.
  13. By participating you hereby release and hold harmless Facebook from any and all liability associated with this promotion.

Safari Tents

Contract of Hire

The hiring contract will be between you the Hirer and the Owner of the property for which the booking is made and shall be deemed to be made subject to the Conditions of Hire and governed by English Law. The contract is for the hire of the property for holiday purposes only. We do not accept bookings from Hirers under 18 years of age. We do not accept bookings from Hirers under 18 years of age. All Bookings for more than 12 months in advance need to be made over the telephone or by email enquiry to holiday@notgrove.com.

Initial Payment

Bookings will be confirmed upon receipt by Notgrove Holidays of the required deposit payment. However, if the booking is made within SIX weeks of the holiday commencement date, the full accommodation rental sum will be required.

Balance Payment

Balance payments are due 6 weeks before arrival, if a balance is overdue the booking will be held for 7 days, after this time if no contact has been made we will cancel the booking and release the dates.

Credit Cards and Bank Transfers

Payments for holiday bookings may be made by credit or debit card, with a 2% charge levied on credit card payments. Payments made by bank transfer should include any handling charges and any bank charges are to be borne by the customer.

Value Added Tax

Where VAT applies to the property rental, it is included in the quoted price at the prevailing rate, i.e. 20%. All VAT inclusive rentals are subject to change if the rate changes.

Confirmation of Booking

Once Notgrove Holidays has issued a ‘Confirmation of Booking’, either by post or email, the Hirer is responsible for the total published price of the property and any extras as shown on the confirmation.

Booking Cancellation

Cancellation without Booking Protect Insurance:

The hirer is strongly recommended to take out holiday cancellation insurance. In the event that you need to cancel your holiday, please inform Notgrove Holidays by email or phone as soon as possible. This will allow us to try and maximise the amount you may be refunded.

If you cancel your holiday, we will try and re-let your property. If we are able to obtain full price for it, we will refund you any monies paid less £50.00

Your holiday is non-transferable. Should you be unable to take your holiday but have a friend or family party who would like to take your place this must be arranged and confirmed in writing in advance.

Cancellation with Booking Protect Insurance:

If you take out Booking Protect Insurance when you place your booking on Super Control (which we strongly advise) you will then follow their refund policy and instructions. No refund will then be given by Notgrove Holidays even if the property re-books, the refund will be provided by Booking Protect Directly.

Bespoke Extras

Deposits paid for extras including catering, bike hire and beauty treatments are non-refundable. In the event we have to cancel an extra booking a full refund will be given.

Party Make Up and Numbers

Under NO circumstances may more than the maximum number of persons, as stated in the brochure/website, occupy a property. Single sex parties over 6 people must be advised to Notgrove Holidays at time of booking, in order to advise owner. Failure to do so may result in loss of deposit. Customers must make it clear at the time of booking if their stay at a holiday property is work-related.

Owners reserve the right to refuse admittance or eject customers if these conditions are not observed

In addition, the owners reserve the right to refuse or revoke any bookings from parties that may, in their opinion and at their sole discretion, be unsuitable for the property concerned. No properties or rooms within properties can, under any circumstances be sublet to a third party or be supplied/used by guests not named at the point of booking. In all instances, the owners reserve the right to refuse bookings if, in their opinion, this condition is violated.

In certain instances, and where specified within the property description, a property may offer the use of an extra bed, sofa bed or similar sleeping arrangement for an additional fee (usually but not always between £40 – £75 per person). Although our website will give a cottage booking price indication (listed as ‘Full and All Inclusive Price’), please be aware that as certain properties charge different prices for the use

of the extra bed, and in such cases you will be asked for this amount IN ADDITION to the full and inclusive price quoted on the website.

Hirer’s Responsibilities

The Hirer is responsible for the property and is expected to take all reasonable care of it during their stay. All equipment, utensils, etc must be left clean and correctly replaced in their original location, and the property must be left clean and tidy at the end of the hire period. Pets should not be left unattended in the property at any time, and should not be allowed to climb or sit on furniture. It is requested also that pets not be allowed in bedroom areas of properties.

Arrivals 16.00hrs departures 10.00 to allow us to service the properties thoroughly

Damage

All damages, breakages and moving of furniture are the legal responsibility of the Hirer and the Hirer’s party. They must be notified to Notgrove Holidays before the end of the holiday. Their cost(s) shall be refundable on demand. While minor damage or breakages will not normally be charged, we do reserve the right to charge bad tenants for extra cleaning, breakage or damage and may refuse future bookings.

The Holiday Home Owner reserves the right to repossess the Holiday Home at any time, where the Hirer or any member of the Hirer’s party has caused damage. The Holiday Home Owner shall not be liable to make a refund of any remaining portion of the hire terms paid.

Any Damages/Security Deposits charged by the owner and administered by the Owner themselves will be cashed no more than one week before the holiday start date to allow for bank clearance, and reimbursed promptly after the holiday (less any penalties which may be incurred). Notgrove Holidays reserve the right to request payment of a security deposit should it be deemed necessary.

Please note that all properties are NON SMOKING within the building(s) associated with your holiday rental booking. If customers or their guests are found to be smoking within the property they may be asked to leave. Owners or their representatives may stipulate that smoking is permissible outside the holiday buildings(s). We also do not allow e-bike, battery, a/c units or large electrical devices to be charge anywhere on-site.

If Notgrove Holidays find guests have ignored this rule, customers will find themselves both legally and financially liable for actions and work required to return the property to its original state.

Literature

Notgrove Holidays takes every care to ensure the accuracy of the property descriptions. All information in the brochure and on our website is given in good faith and is believed to be correct at the time of going to press. Owners reserve the right to change prices after publication. The statements and prices in the brochure, the website and elsewhere are made in good faith but the agent has no liability for inaccuracies.
Please be aware that if a property is advertised as having an enclosed garden, this does not necessarily mean a secure garden. It may be enclosed by hedging or open style fencing.

Legal

In the event of any dispute between parties it shall be referred to the jurisdiction of the English courts only and any actions shall be heard in the court for the area in which the property is located. Any disputes arising between you and The Owner, if not mutually resolved, can be referred to a single arbitrator agreed, or in the default of such agreement, to the President for the time being of the Law Society or Institute of Arbitrators. In either case, such arbitration would be subject to the provisions of the Arbitration Act of 1996 or any statutory modification thereof for the time being in force. All parties will contribute equally to the cost of Arbitration.

Availability

The Hiring Contract is made on the understanding that the property and its facilities will be available for the dates stated. Without prejudice to the foregoing, in the event that a property is not available or is unusable due to events arising outside the control of the Owner, we may be forced to cancel the booking or offer suitable alternative accommodation. The Hirer will be advised as early as possible. The Hirer will not have any further claims against the owner. No compensation, costs, expenses or other sums (including, without limitation, the cost of securing alternative accommodation) will be payable in any other such circumstances by the owner.

Please note that reservation requests taken via our website are not confirmed bookings until we have contacted you and accepted a payment.
